PUBLIC WORKS 03 / FILM · ELEVATEHER 2026 RETREAT RECAP

Four days of a retreat.
Five and a half minutes.

A recap film for the ElevateHER 2026 women’s ministries retreat at Omni Orlando Resort at ChampionsGate, made so the women who could not be there could see what happened.

ElevateHER 2026 / 5:29. Filmed and photographed by the women who attended. Narration from the organizer’s own voice notes.
THE ASK

What we were
asked to do.

“Just to let those individuals who were not present get an idea as to what transpired.”

The organizer, in her brief. She asked for about five minutes, from Thursday’s check-in to Sunday’s departure, and named one moment that had to be in it: the gala presentation to the Director, seated in the white chair.

WHAT WE DELIVERED
  • A 5:29 film at 1920×1080, 30 fps
  • A best-quality master, a sharing cut, and a no-music version
  • The gala presentation to the Director, as the emotional peak
  • The organizer’s own voice notes as narration
  • Live worship, prayer, sermon lines, sax, and a birthday song kept as recorded
  • Chapter cards, a journey map, a 400+ counter, and palace typography
  • One music bed per act, ducked under speech, mastered to −14 LUFS
  • Delivered the night of the brief

HOW WE ORCHESTRATED IT

Six passes.
One timeline.

Because the film is written as data, a change is an edit rather than a re-export. When the client asked for new captions and smoother music, the picture and the sound followed the same timeline.

  1. 01

    Audit

Every file catalogued, the 2,099-item shared album indexed by time, and each video transcribed with word timings. Names and quotes stay off screen until they are confirmed.

  2. 02

    Story

The weekend in order, with one through-line: Esther, “for such a time as this,” from the Sabbath prayer to the gala tribute. The organizer’s voice notes narrate only what happened; live sound carries the rest.

  3. 03

    Design system

A royal editorial scrapbook: cream paper, plum, rose, and gilt, set in Didot, Helvetica Neue, and Menlo, with wax-seal chapter cards built from the ministry’s own emblem.

  4. 04

    Build

The film is a timeline in code. Every shot, caption, and graphic is timed to its source, and every frame is rendered with fresh film grain.

  5. 05

    Sound

A music bed per act, matched in level and ducked under every spoken line, then mastered to −14 LUFS.

  6. 06

    Check

Each export is checked for frame count, full decode, stray black or frozen frames, loudness, and caption legibility before it ships.

THE NIGHT OF

Brief at 4:32 PM.
Delivered by 11:05.

Times from the organizer’s voice note and our own build log, October 14, 2026.

  1. 4:32 PM

    The brief

A voice note from the organizer: about five minutes, Thursday check-in to Sunday departure, and the gala presentation to the Director. She wanted to see a cut that night.

  2. 9:17 PM

    Build begins

Footage audited, story and design system set. The timeline, renderer, and audio mix are written for this film.

  3. 9:40 PM

    First frames

Test frames across every chapter: dark and bright shots, panels, the map, the gala, and the end card.

  4. ~10 PM

    Client notes, same night

Captions moved to Didot italic with brand-colour accents, and the opening music swapped for something smoother. Both changes went straight into the timeline.

  5. 11:05 PM

    Delivered

A best-quality master, a smaller cut for sharing, and a version without music, each checked as exported.

  6. 5:00 AM

    The deadline

The time the organizer needed it, to send to the Director for approval.
